Important! All states regulate who can organize a raffle, who can participate and how they are run. Many states restrict raffles to 501(c)3 organizations and impose limits on how much raffle revenue can be generated annually. Most states require permits or licenses for online sales of raffle tickets and some states prohibit online sales entirely. It is your responsibility to research and comply with your state's laws re: conducting raffles.
This help article covers how to enter items in your catalog for the raffle ticket options you are legally allowed to offer.
Tips for Entering Items for All Raffle Ticket Options:
- If you are selling raffle tickets at different price points (eg 1 for $5, or 3 for $10), you must set up a separate catalog item for each price point. Once the first item is created, it can be cloned and the item name/price edited for the next option.
- It is not necessary to create different items to allow people to buy multiple tickets - the desired qty can be specified during the purchase/sale.
- For easier reporting of revenue raised across multiple ticket options, include "raffle" in the Item name for each option. If you are holding multiple raffles with separate tickets, include the raffle "name" in the item name for each option (eg. Ipad Raffle 3 for $10).
- Use the Friends of. . . donor record embedded on your event site for the item(s) setup for raffle tickets. If the item was donated, you can promote the donor in the description. Their donation will be officially recorded on the item setup for the raffle prize (so their receipt reflects the value of the prize rather than the value of all available tickets).
- Enter the quantity available to reflect any limit on the number of tickets (chances) being sold, or to a sufficiently large number if sales will not be limited.
- If you plan on promoting your raffle using the Web Catalog, be sure to include details such as FMV of the prize(s), number of tickets available, and details of the drawing in the item description.
- Use the Restrictions field to note any limitations on who is eligible to participate (eg. Must be 18 years of age or older. Employees of (Your Org) and their family members are not eligible to participate).
Entering Items for In-Person Raffle Sales (only):
Go to Catalog > Add an Item:
- Use Item Type = Raffle.
- Note that the Raffle item type does not generate a FMV field because games of chance are never tax-deductible, so raffle items will automatically reflect FMV = Price on receipts.
- Note that the Raffle item type is only available for in-person sales during onsite check-in, at your gala, via POS and/or by manually adding them to new or existing orders/carts. See instructions below for setting up raffle tickets to be sold online only or in addition to in person sales.
Entering Items for Raffle Tickets to be Sold Online (or online + in person)
If your state allows online raffles and you have complied with local regulations:
Go to Catalog > Add an Item:
- Use Type = Sellable
- Choose where the item can be purchased, at the gala, in an online auction/catalog, from a Fundraising Campaign page, or as an add-on item during ticket sales or registration.
- FMV must equal the Price because games of chance are never tax-deductible.
Additional Instructions:
- Selling raffle tickets and recording sales outside the software.
- Awarding Raffle Prizes
- Reporting Raffle Revenue (including 50/50 prize)
