Important! All states regulate who can organize a raffle, who can participate and how they are run. Many states restrict raffles to 501(c)3 organizations and impose limits on how much raffle revenue can be generated annually. Most states require permits or licenses for online sales of raffle tickets and some states prohibit online sales entirely. It is your responsibility to research and comply with your state's laws re: conducting raffles.
This help article covers how to use the software to sell the raffle ticket options you are legally allowed to offer.
In Person Sales
A. At an in-person gala or ticketed event:
Raffle Tickets can be offered during onsite check-in - but most organizers prefer to offer raffle tickets at a separate table/booth or via roving salespeople as selling at check-in slows down the check-in lines.
Purchases can be recorded on paper tracking sheets (for later data entry) or directly into the software from an ipad. Either way - the sales are entered at Auction Night > Sell Bulk Item.
Purchases are generally "charged" to the guest's bidder number for payment at the end of the event, but you can also enable "cash payments for incidentals" to accept cash on the spot while recording the sale as already paid in the bidder's cart.
B. Walk-up sales using the POS feature as a cash register.
If Point of Sale does not display as an option on your event site, please use the help widget to contact our support team and we'll enable it for you.
C. Recording sales made outside the software.
To record the number and revenue from raffle tickets sold outside the software - you can create a single order for all sales, or separate orders by seller if you need to track how many raffle tickets were sold by individuals.
For a single entry:
- Go to Orders > Add Order > New User
- Create a faux user with a name like External Raffle Sales
- Use the Add Item button to add the qty of Raffle tickets sold to the order.
- Use the Add Payment button to record a single payment to record the monies collected outside the software (or separate payments for cash/check if desired).
For separate entries by Seller:
- Go to Orders > Add Order > New User
- Create a new user with the Sellers Name - adding a code if necessary to distinguish between raffle sales vs other purchases the seller may make (eg Jason White-raffle)
- Use the Add Item button to add the qty of Raffle tickets sold to the order.
- Use the Add Payment button to record a single payment to record the monies collected outside the software (or separate payments for cash/check if desired).
- To record future sales by the same seller, find and edit the existing order to add more raffle ticket sales (or edit the qty of the prior sale).
- To report sales by seller - go to Admin > View Reports > All Sales and use Item Name and/or Buyer Name filters to locate raffle sales made by the individual OR select the sellers on the Orders page (easiest if you've added a code to the sellers name) and bulk "Print Receipts"
FAQ: My state prohibits online raffles - does that mean I can't record in person raffle sales using online software?
There is a difference between "selling tickets online" and recording in-person purchases in an online platform. The primary intent of prohibiting online sales of raffle tickets is to prevent tickets from being purchased by ineligible buyers (under age, out of state, employees of your organization etc). During in-person sales, your "sellers" are expected to be confirming buyers are eligible, so recording individual sales on your event site is usually fine - but it is still your responsibility to confirm your state's rules. Montana, as an example, allows out-of-state sales but does NOT allow payment by credit card. If in doubt, you can use method C above: sell and accept payment in person, then record sales/revenue in a single generic order.
Online Sales:
A. The easiest place for your supporters to buy raffle tickets online is a Fundraising Campaign page (no account or sign-in needed).
B. Raffle Tickets can also be offered as add-on options during ticket sales/registration. For guests that are already purchasing registering for your event, this is a great solution. For those that only want to purchase raffle tickets, the fundraising form is shorter and easier to navigate.
C. Finally, raffle tickets can be offered from the catalog in an online auction. This option requires your supporters to either signup for an account or to receive an invitation to bid before. Again, very easy for supporters that are already participating in your online auction, but a high hurdle for those that simply want to purchase raffle tickets.
