Invitations to join your Virtual Event can be sent via email or text* to anyone with a user record on your event site.
Each invitation contains a personal link which will bring your supporters to a Welcome page, where they can choose their online handle (the name that will display with their bids/chat entries), provide/confirm a phone number for text messages and vault a credit card (if you're asking them to do so).
Once they've provided any requested info, they are brought to your Virtual Auction page/livestream, logged in and ready to participate.
You have several options for creating User Records for your supporters:
- Upload a spreadsheet their names and email addresses.
- Returning customers can migrate (copy) users from a previous event site.
- Ask supporters to pre-register by signing up.
- Ask supporters to pre-register by buying tickets (tickets may be free). This option requires the most effort for your team and guests - so is only recommended for cases where you want to charge admission and/or you want bidders to have assigned bidder numbers (which are not required by the software) and/or you want to provide a formal option for couples/families to bid and pay as a single "unit".
*Single invites can be sent via text to any user with a valid phone, but invites sent via bulk text can only be sent to recipients that have already "opted in" to receive texts from your event.
Tip: The best way to preview the email and/or text invitations is to simply send yourself one (see instructions below).
You can send invitations as soon as the feature is enabled (at Site Settings > Virtual Event) to preview the message text, personal link and welcome page. From the welcome page, you'll be directed to the Virtual Auction page if it is LIVE - so be sure to switch it to LIVE on the Virtual Control panel before your test (the livestream does not need to be setup or playing to make the page live).
Email templates can be edited at Admin > Site Settings > Communications > Email Templates. Text/SMS templates cannot be edited. Premium customers can create custom bulk SMS templates which contain invitation merge tags.
Note: some organizations (esp. government and school organizations) restrict video and/or livestream displays on work devices. We suggest including a recommendation in yoru invite message that your supporters connect with their personal computers.

Invitations to Virtual Event can be emailed from any of the datapages (Tickets, Users etc) using the Bulk Action button, but you can send email and text invites from Auction Night > Send Invites
